Administration Assistant

1 x Permanent

1 x Temporary for 6 months

  • 37 hours per week

The main purpose of this role is to support HFS operational leadership, including Director, Head of Service, Managers and Supervisors to create and maintain profitable service delivery, ensuring quality and customer satisfaction (client/tenant/owner) is maintained at the highest level by providing a full administration support service to HFS across all services including Repairs & Maintenance, Voids, Compliance and Environmental.

Other key areas of responsibility include: 

  • Competently take and distribute minutes including minutes of a confidential nature
  • Purchase Order processing – Liaising & interacting with suppliers on a day to day basis, creating and issuing purchase orders
  • Liaise with the Finance Team to ensure the accurate and timely processing of invoices and purchase orders
  • Match invoices to purchase orders and delivery notes to ensure accuracy. 
  • Communicate with customers, internal and external, in a courteous and supportive manner and deal with vulnerable customers in a sensitive manner.
  • Liaise with external agencies as required to fulfil the needs of the business, e.g.  Suppliers and Agencies.
